Deposits & Balances

Booking Deposit

A non-refundable booking deposit of 30% of the total Service Quote is required to secure your event date. Your date is not held until the deposit is received.

Balance Due

The remaining balance is due no later than 7 calendar days before your event date. Failure to pay the balance by this date may result in cancellation of your event services and forfeiture of the deposit, compensation for design time, and any materials already purchased on your behalf.

Short-Notice Bookings

For events booked fewer than 14 days in advance, the full balance (including deposit) is due at the time of booking.

Late Payments

Unpaid balances accrue interest at 12% per annum (or the maximum rate permissible under RCW 19.52.020, whichever is lower).

Currency: All amounts are in USD. Invoices are due upon receipt unless otherwise stated in the Service Quote.

Cancellations

Notice Given Outcome
14+ days before event Deposit retained by Bradbury Events as compensation for lost business, design time, and materials. No further charges.
Fewer than 14 days before event Client is responsible for the full Service Quote balance in addition to the deposit, less any costs the Contractor is able to recover or avoid.

Deposit Hold / Transfer

In special circumstances at the Contractor's discretion, the deposit may be held and applied toward a rescheduled event within one calendar year of the original event date. To request a deposit hold, complete the Deposit Hold Request form provided at time of cancellation.

Contractor Cancellation

If Bradbury Events must cancel due to illness, injury, or other circumstances within the Contractor's control, you will receive a full refund of all deposits and payments. We will make reasonable efforts to refer you to a qualified alternative provider.

Damage Deposit

All events are subject to a refundable damage deposit of 20% of the Service Quote total, collected separately from the booking deposit and balance.

Purpose

The damage deposit ensures all Bradbury Events rental items and materials are returned in the same condition they arrived, accounting for normal and minor wear and tear only. You are at risk of losing part or all of the damage deposit if we find rips, tears, food or other stains, or candle wax on any linens, backdrops, faux florals, or furniture after teardown.

Return Timeline

The damage deposit will be returned within 7 business days following the event, provided no damage, loss, or destruction beyond normal wear and tear has occurred.

Damage Assessment

If damage is found, we will provide written notice and photographic documentation within 5 business days of the event. You will have 5 business days from receipt of that notice to dispute the assessment in writing. Any undisputed portion of the deposit is returned within 14 business days of the event.

Design Consultations & Approvals

Consultation Process

Our design process begins with a consultation to discuss your vision, color preferences, ceremony type, and venue requirements. Consultations may be conducted in person, by phone, or by video call.

Design Fees

If a custom digital mockup has been requested, a design consultation fee may apply as outlined in your Service Quote. This fee is credited in full toward your booking total if you proceed. If you do not proceed, the design fee is non-refundable, as it compensates for design time, concept development, and mockup production.

Revisions

One round of revisions is included with each digital mockup. Additional rounds are subject to fees as agreed in writing. See the Fees & Surcharges section for the design fee schedule.

Final Approval Deadline

Final design approval must be provided in writing (email is sufficient) at least 7 days before your event date. If we do not receive written approval by this deadline, the most recent mockup or concept presented is deemed approved.

Late Design Changes

Design changes requested within 7 days of the event may not be feasible and are subject to material availability and additional fees.

Artistic License

Event decoration is an artistic service. Minor variations in color, texture, floral placement, and arrangement composition are inherent to handcrafted decor and do not constitute a failure to perform. Digital mockups and inspiration images are conceptual guides; screen colors may not exactly match physical materials under venue lighting. On-site adjustments for venue conditions, structural limitations, or safety considerations do not modify the scope or terms of your agreement.

Force Majeure

Neither party is liable for failure to perform due to circumstances beyond their reasonable control, including natural disasters, severe weather, government orders, utility failures, pandemic, acts of terrorism, or venue closure for reasons outside either party's control.

Rescheduling First

When a Force Majeure Event occurs, both parties will make reasonable efforts to reschedule within 12 months of the original event date, with all deposits and payments applied to the new date.

If Rescheduling Is Not Possible

If the parties cannot agree on a new date within 30 days of the Force Majeure Event, Bradbury Events will refund all payments received, less the value of any non-recoverable materials already purchased and any non-refundable third-party expenses. An itemized accounting is available upon request.

Venue Access & Third-Party Vendors

Client Responsibilities

  • Secure venue access for Bradbury Events during the setup and teardown windows specified in your Service Agreement.
  • Communicate all venue-specific restrictions, rules, and requirements in writing at least 7 days before the event.
  • If your venue requires a Certificate of Insurance (COI), notify us at least 10 business days before the event. We cannot guarantee COI issuance for requests made with fewer than 5 business days' notice.
  • If your venue requires vendor portal registration or supplier onboarding documentation, notify us in writing at the time of booking.
  • Ensure that other hired vendors (caterers, photographers, DJs, lighting technicians, etc.) do not move, alter, obstruct, or damage our installations.

Access Delays

Delays in venue access that reduce our available setup or teardown time may affect the scope or quality of services delivered. Bradbury Events is not liable for limitations resulting from access delays outside our control.

Third-Party Vendor Damage

Bradbury Events is not liable for damage to our installations caused by other vendors, event guests, or other parties. Any repair or replacement costs resulting from such damage are the Client's responsibility.

Coordinator or Planner Bookings

If a wedding coordinator or event planner is involved, the coordinator handles logistical communication (venue access, setup timing). However, the Client retains sole authority to approve design changes, scope modifications, and pricing adjustments. The Client remains solely responsible for all payments and obligations regardless of coordinator involvement.

Appendix BE-D Fee Schedule

A. Operational Summary

  • Standard Service Window: 8:00 a.m. to 9:00 p.m. PT
  • Free Delivery Radius: events within 20 road miles of Marysville, WA 98270 (Google Maps, fastest route) are included at no additional charge
  • Travel Beyond 20 Miles: a travel fee applies and will be quoted on your Service Quote prior to booking
  • Operational fees are listed on your Service Quote; post-event fees (material remediation, damage) are billed after inspection with documentation

B. Time & Access

The following fees may apply when setup or teardown falls outside our standard service window, or when access conditions affect our team's ability to work on schedule.

Time and access fees begin accruing upon our crew's arrival. The Client is responsible for ensuring the venue is accessible, with a designated point of contact on-site, during the agreed setup and teardown windows.

C. Material Remediation (Post-Event)

If rental items are returned in a condition requiring cleaning beyond standard handling, remediation fees apply. This is separate from the damage deposit process.

Design fees are credited toward your booking total if you proceed. Once any design work begins, the fee is non-refundable. Mockups are delivered within 14 calendar days after the fee is paid and all inputs are received. Inspiration images guide style and mood; they are not a promise of exact duplication.

G. Sales Tax (WA)

Washington retail sales tax applies to taxable services as required by law. Post-event reimbursements for remediation, damage, or loss billed separately are generally outside retail sales tax. Bundling taxable and non-taxable items under a single non-itemized price may result in tax applying to the entire bundle.

H. Order of Precedence

If this Appendix conflicts with your Service Agreement, the stricter or more specific provision controls; otherwise, the Service Agreement governs.

Payments

We do not store full card numbers. Our payment processor is PCI-compliant. We may use card-on-file for approved charges per your Service Agreement.

Retention

We retain records as required for operations, legal compliance, and tax purposes, then delete or anonymize them.

Security

We implement administrative, technical, and physical safeguards. No method of data transmission or storage is 100% secure.

Your Choices

You may request access to, correction of, or deletion of your personal information, subject to recordkeeping obligations. You may opt out of marketing communications at any time.
